The Adminstration Manager is responsible for the activities and operations of office managers, office services, payroll, accounts receivable, accounts payable and contract administrators, including maintaining the phone system, purchase and maintenance of office equipment, coordinating mail service as well as building and grounds matters, providing support to operating companies regarding the corporate credit card program, administration of the Docusphere and related electronic capturing software, and assistance and guidance in other office services areas.

Minimum Qualifications/Work Experience Requirements

  • Associates degree in business discipline or 10 years related experience.
  • Knowledge of office functions, PC applications and JDE and EDMS software systems.
  • Five years experience in related position.
  • Excellent communication skills.

Preferred Requirements

  • Extensive knowledge of JDE Accounting system.
  • Extensive knowledge of KR payroll systems, bidding systems, AR and AP management.
  • Extensive knowledge of Bonds, Certified Payroll and contracts.

Duties And/ Or Responsibilities

  • Always work safely and take action to prevent any and all unsafe actions, processes and behaviors.
  • Administer Support and guidance to office managers and staff on daily office management, contract administration, payroll, AR and AP as well as other needed tasks to ensure uniform, consistent operation of related offices within the state.
  • Administer the corporate credit card program including setting up users for operating companies. Assist in the maintenance, development, enhancement and implementation of related corporate credit card functionality including reporting, imaging, research, problem resolution and other applications.
  • Administer and implement JDE guidance and operations within all users in the multiple offices, set up new users and assign security as requested. Develop and implement directed changes to the AP workflow and test new software updates while assisting employees with training and user issues. Address outstanding issues and proposed enhancements with Knife River ETS for the corporate office and operating companies.
  • Coordinate the office phone system, cell phones and wireless devices in coordination with Knife River ETS, as directed, including applicable corporate discounts and most economical plans are being used.
  • Coordinate KRC buildings and grounds issues to ensure all are being addressed. Review budgets for buildings and grounds operating expenses and capital budget expenditures when initiated.
  • Assist in coordination of document retention, scanning, and records management, as directed.
  • Handle high volumes of work under time constraints, which may require extended work hours.
  • Always work safely and take action to prevent any and all unsafe actions, processes, and behaviors.
  • Perform other duties as assigned.

Knowledge, Skills And Abilities

  • Excellent verbal and written communication skills.
  • Strong organizational skills.
  • Knowledge of MS Office (Word, Excel, Outlook) and proficient math skills.
  • Ability to demonstrate professionalism, tact, diplomacy and critical thinking skills when dealing with employees and the public.
  • Ability to work with and assist employees
  • Able to work independently and under time constraints.
