Position Summary

The Administrative Assistant provides administrative and organizational support for daily program and office operations within a behavioral health treatment environment. This position assists with scheduling, communication, record management, office coordination, and general administrative functions to support efficient operations across the organization.

The Administrative Assistant works closely with leadership and multidisciplinary staff to support communication, organization, and operational effectiveness. This position helps maintain a professional, welcoming, and organized environment while ensuring compliance with organizational policies, confidentiality standards, and professional expectations.

Duties And Responsibilities

  • Answer phones, route calls, take messages, and assist visitors in a professional manner.
  • Support scheduling, calendar coordination, and administrative communication processes.
  • Maintain organized records, files, spreadsheets, and administrative documentation.
  • Assist with data entry, scanning, filing, copying, and document management.
  • Support office supply inventory, ordering, and general office organization.
  • Assist leadership and staff with administrative projects and operational support tasks as assigned.
  • Maintain confidentiality and ethical standards in accordance with HIPAA and organizational policy.
  • Support front office operations and maintain professional communication with clients, staff, vendors, and outside agencies.
  • Perform related duties as assigned.

Position Requirements And Expectations

  • Strong communication, organizational, multitasking, and administrative skills.
  • Ability to maintain professionalism and confidentiality within a behavioral health treatment environment.
  • Strong attention to detail and ability to manage multiple priorities.
  • Basic computer proficiency including Microsoft Office, email systems, and electronic documentation systems preferred.
  • Ability to work collaboratively within a multidisciplinary environment.

Preferred Experience

  • Experience working in administrative, clerical, healthcare, or behavioral health settings preferred.
  • Experience supporting office operations and front desk coordination preferred.
  • Experience working within fast-paced professional environments preferred.

Requirements

Education Requirements

  • High school diploma or equivalent required.
  • Additional education in business administration, healthcare administration, or related field preferred.
