Job Overview:   SAMLARC is seeking a Beach Club Manager who enjoys a fast-paced collaborative environment, has exceptional skills with people, is goal-oriented, possesses facility maintenance & recreational experience, and is organized and strategic. The ideal candidate will ensure the enjoyment and satisfaction of all aspects of the SAMLARC Beach Club, Swimming Lagoon, and the four (4) Community Pools through safe, clean facilities, fun amenities, and relevant programs for all members of the SAMLARC Community.  The ideal candidate will foster a team atmosphere focused on the growth & development of staff, strengthening positive vendor relations, and promoting the SAMLARC brand of quality, commitment, and values.   This is a management level position that reports to the Assistant General Manager for the Rancho Santa Margarita Landscape and Recreation Corporation.  The Beach Club Operations Manager provides support to the Assistant General Manager, Community Executive Officer and the account through ensuring high operational efficiency, collaboration, and professionalism.      Compensation: $90-100k   FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future.   Job Responsibilities: In addition to all other duties and responsibilities described within the generic job description for Beach Club Operations Manager, the following specifically apply to this position. Other duties may be assigned.   Beach Club Customer Service 
  • Train and supervise staff to consistently demonstrate outstanding customer service
  • Visit with members and guests to ensure their needs are met and they feel valued.
  • Respond to homeowner inquiries regarding facility usage or sensitive inquiries promptly. 
  • Provide written information and tours of the Beach Club.
  • Ensure that staff are aware of and enforce the facility rules in a polite and consistent manner.
Administrative
  • Positive client relationships with the board of directors (SAMLARC and sub-associations); client relationship with outside entities such as the City of Rancho Santa Margarita, County of Orange and its departments, Orange County Fire Authority, Orange County Sheriff’s Department, Santa Margarita Water District, San Diego Gas and Electric and Chamber of Commerce.  
  • Work in conjunction with the Community Executive Officer and Assistant General Manager for Board packet agenda items and compilation. Prepare complete and accurate Board Reports and associated exhibits. Attend Board meetings and present reports as appropriate.
  • Prepare quarterly usage reports for the Board of Directors as follows: vandalism, usage, closures, maintenance, and/or repair projects.
  • Provide operational support for Community Lifestyle events and programs in collaboration with the Community Lifestyle Manager.
  • Coordinate and attend designated meetings and functions as requested by the Community Executive Officer and Assistant General Manager.
  • Recommend policies, guidelines, and appropriate service levels to the Community Executive Officer and the Assistant General Manager.
  • Participate in developing short-term and long-range plans. Develop recommendations for goals and action plans to achieve Community objectives.
  • Assures effective and efficient use of budgeted funds, personnel, materials, facilities, and time.
  • Recruit, hire, train and supervise direct reports in accordance with the documented management plan.   
Fiscal
  • Responsible for all monies collected and deposited on behalf of Beach Club operations.
  • Monitor and track petty cash expenses, as well as request and cash reimbursement checks. 
  • Verify and approve non-routine service invoices for payment, subject to established budget guidelines.
  • Prepare and monitor the annual budget for Beach Club, Lake, Lagoon, and Community Pool Operations.
  • Coordinate with and provide input into the annual Reserve Study regarding the Beach Club facility, the Lake, the Lagoon, and the SAMLARC Community Pools.
  • Participate in the development and monitoring of the annual budget.
Beach Club, Lake, Lagoon & Community Pools Maintenance
  • Recommend and/or plan, direct, and coordinate the alteration, repair, and maintenance of the Beach Club, the Lake, the Lagoon, and the four (4) Community Pools.
  • Verify completion of the monthly maintenance calendar.
  • Develop and recommend long-range operations and maintenance programs.
  • Manage, create, and maintain maintenance and project schedules.
  • Recommends the use of vendors for maintenance service, repair and refurbishment projects.
  • Ensure that the vendor Score Card System is performed regularly.
  • Research new products, processes, equipment, and vendors; identify and coordinate the purchases of all required projects and repair materials.
  • Maintain effective relations with vendors, other agencies, and members; respond to inquiries utilizing FirstService Residential standards
  • Maintain records of on-site work orders, projects scheduled, and all phases of project work. Ensure that work orders are being generated to correct any issues identified during the inspection.
  • Monitor and update operational manuals and related policies and guidelines.
  • Maximize the safety of the facilities. Prepare, review, and approve the division’s monthly safety reports.
  • Ensure the facilities and restrooms are in excellent condition.
  • Ensure management of the daily operations of the Beach Club and related areas.
  • Coordinate security and law enforcement as necessary.
Operations
  • Attend and participate in professional group meetings. Stay abreast of new trends and innovations in community management and vendor oversight.
  • Ensure that all contractors/vendors adhere to specifications and work is completed in accordance with SAMLARC standards.
  • Provide regular independent objective assessments of contractor performance. Coordinate vendor reviews and oversee the selection bidding process for all new contractors.
  • Proactively identify areas of improvement and makes recommendations to improve the maintenance of the Beach Club, Lake, and Community Pools. 
  • Ability to communicate effectively both verbally and in writing, and to relate to a diversified and sophisticated Board of Directors and community. 
  • Follows quality system procedures.
  • Must have reliable transportation and be able to drive to other work locations.
  • This position will require a minimum of 40 hours a week with some evening meetings and weekend events.  Holiday events such as 4th of July and Christmas Tree Lighting are mandatory work days.

Skills & Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  The requirements listed below are representative of the knowledge, skill, and/or ability required.
  • Planning, organizing, supervising, and administering aquatic facilities, activities including maintenance, contract administration, facility planning and development and recreation programming.
  • Supervising, evaluating, motivating, and training assigned staff.
  • Knowledge of implementing and monitoring a budget including program, operational, capital and reserve repairs and improvements, personnel, and equipment recommendations. 
  • Modern office procedures, methods, and equipment including computer software programs
  • Knowledge of pertinent federal, state and local codes, laws, and regulations.
  • Talking and hearing occur continuously in this position in the process of communicating with guests, associates, supervisors, vendors, and our clients.
  • Must be able to handle pressure and deadlines related to the job.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Must be able to work well under pressure and deadlines, as well as work independently and prioritize time effectively.  Must have the ability to make decisions and solve problems creatively.

  • Must be a creative problem solver.

  • Bilingual Spanish helpful.

  Education & Experience:  
  • Bachelor’s Degree in Park and/or Recreation Administration, Sports Management or Business
  • Five (5) years of increasingly responsible experience in facility maintenance, property management or trades work including at least three (3) years of supervisory experience; or an equivalent combination of education and experience. 
Physical Requirements & Working Environment:

  • Must be able to lift 25lbs.
  • Must be able to visit and inspect recreation facilities and job sites.
  • Must be able to sit for extended periods of time.
  • Must have finger dexterity for typing/using a keyboard.
  • Must be able to stand and exert well-paced ability for up to 4 hours in length.
  • Must be mobile enough to move around within the office and throughout the venue.
  • The vision requirements include ability to adjust focus, depth perception, peripheral vision, color vision, close and distance vision.
  • Ability to walk association areas and visually review building areas and aquatic facilities to ensure proper maintenance.
  • Full time exempt position.  Regular schedule is Monday through Friday, dependent on company needs and workload.  There are occasions when it is necessary to work various holidays, community events and weekends.  Attendance at evening meetings required.  Hours over and above 40 per week will occur.   As an exempt status employee, the candidate is required to be available via cell phone for emergencies. 
  • There are times when employees may be required to work hours outside of, or in addition to the scheduled working hours.  Supervisors schedule according to the needs of the client and provide as much notice as possible whenever there is a requirement to reschedule.  FirstService Residential considers schedule preferences however business needs may require necessary schedule changes. 
  • Consistent and regular attendance required.
  • The work environmental characteristics are normal office conditions. 
Supervisory Responsibilities:
  • Supervise and train all onsite associates as necessary; monitor subcontractors in the areas of performance, contract compliance, work orders, supply purchases, safety, and security.
  • Prepare and/or oversee the preparation and conduct of all performance reviews as required
  • Enforce all applicable safety, health, and environmental regulations.
  • Supervise and/or oversee the supervision of contractual agreements with vendors and contractors.
  • Ensure, receive and approve service requests and related work orders, in accordance with established procedures. 
Tools & Equipment Used:  
  • General office equipment. 
Travel:
  • Possess dependable transportation, a valid California State Driver’s License, and the state mandated vehicle insurance for the purpose of running errands, traveling to and from meetings and other transportation needs as directed by Management.
