We are seeking a friendly, dependable, and client-focused Client Service Representative (CSR) to join our growing team. In this important front-line role, you’ll serve as the first and last point of contact for our clients—ensuring every experience is warm, professional, and memorable.
About the RoleAs a CSR, you’ll be a vital link between our clients and the clinical team. Your communication skills, compassion, and attention to detail will help clients feel informed, supported, and cared for throughout their visit. This role requires strong multitasking ability, emotional resilience, and a natural flair for customer service—especially in high-energy or emotionally charged situations.

Some of the responsibilities you will own in this role:

Client Experience & Interaction
  • Greet clients and pets warmly, setting a positive tone from the moment they walk in
  • Create a welcoming and compassionate environment for pets and their families
  • Handle check-in and check-out procedures with professionalism and care

Appointment Scheduling & Communication
  • Answer incoming calls, emails, and messages efficiently and with empathy
  • Schedule appointments for routine visits, emergencies, and procedures using veterinary scheduling software
  • Manage the daily flow of appointments to minimize wait times and ensure smooth transitions

Medical Records & Administrative Support
  • Maintain accurate and up-to-date client and patient records in our electronic system
  • Gather patient histories, verify vaccination records, and support compliance with privacy regulations
  • Process patient paperwork and assist with follow-ups

Billing & Payment Processing
  • Accurately handle payments, invoices, and financial discussions with clients
  • Explain service estimates, payment options, and available financing solutions
  • Provide transparency and support during cost discussions

Client Education & Support
  • Share information on preventive care, emergency procedures, and general pet health
  • Educate clients on available services such as dental care, diagnostics, and specialty treatments
  • Provide post-visit follow-ups and help ensure client satisfaction

Team Collaboration
  • Work closely with veterinarians, technicians, and assistants to ensure effective communication and smooth coordination of care
  • Stay calm and focused during emergency situations and help facilitate urgent case intake

Facility & Front Desk Operations
  • Maintain a clean, organized, and professional reception area
  • Monitor inventory and ensure front office materials are stocked and accessible
  • Assist with administrative tasks and day-to-day clinic operations

Preferred Qualifications & Skills

  • 1+ year of experience in a veterinary, medical, or customer service setting
  • Familiarity with veterinary terminology, EMRs, and scheduling software
  • Excellent verbal and written communication skills
  • Strong organizational and multitasking ability in a fast-paced environment
  • A calm, empathetic demeanor—especially when dealing with anxious pets or emotional clients
  • Professional, polished, and positive attitude
  • Availability to work some weekends and occasional evenings as needed
