We’re looking for a highly reliable, ultra-organized, and resourceful Executive Assistant to support our CEO, Jean-Louis Queguiner, who has recently relocated to New York to open Gladia’s first U.S. office. This is a unique opportunity to be part of Gladia’s growth in the U.S. from the ground up.
Role
As the Executive Assistant, you’ll operate as a force multiplier for the CEO helping him stay focused, prepared, and two steps ahead. Your responsibilities will span across:
Executive Support

Role
As the Executive Assistant, you’ll operate as a force multiplier for the CEO helping him stay focused, prepared, and two steps ahead. Your responsibilities will span across:
Executive Support
- Manage a complex calendar, including meetings across time zones.
- Coordinate travel arrangements, including flights, accommodations, and local logistics-especially between the U.S. and Paris.
- Ensure the CEO is well-prepared for meetings and events with briefing materials and agendas.
- Track action items and follow-ups to ensure execution and accountability.
- Serve as a liaison between Jean-Louis and the broader Gladia team to ensure effective communication and follow-through.
- Assist in preparing internal communications and summaries on behalf of the CEO.
- Collaborate closely with the Marketing team to support the planning and execution of events, including local meetups and industry conferences.
- Support the onboarding process for new employees, ensuring a smooth and well-organized experience.
- Coordinate travel and logistics traveling to or from Paris & International events.
- Partner with the People team on administrative tasks related to new joiners & office needs
- Be a point of contact for U.S. team members regarding local office logistics.
- 3+ years experience in an Executive Assistant or Operations role, ideally in a fast-paced startup or tech environment
- A proactive, resourceful mindset: you anticipate needs and solve problems before they arise
- Excellent organizational and communication skills
- Experience working across time zones and international teams is a strong plus
- Experience with event planning
- A collaborative and approachable style - people enjoy working with you
- Strong written and verbal English skills (French is a plus, but not required)
- Comfort with hybrid work, being the local go-to person for a mostly distributed team
