About This Role

The Executive Assistant to SVP of Operations plays a pivotal role in supporting the Senior Vice President of Operations at our global headquarters in Palm Beach Gardens, FL. This role demands an exceptional professional who thrives in high-performance environments and demonstrates the highest level of integrity, discretion, and responsiveness.

The Executive Assistant to SVP of Operations should be highly organized, detail-oriented, and capable of managing a wide array of priorities in a fast-paced, global setting. The Executive Assistant to SVP of Operations will proactively support executive-level initiatives, including coordination with internal leaders and external partners, planning of high-stakes meetings and travel, and maintaining operational cadence across global operations leadership.

The Executive Assistant to SVP of Operations will work onsite in Palm Beach Gardens.

Key Responsibilities

Executive Support

  • Manage and optimize a complex, fast-moving calendar for the SVP of Operations to ensure alignment with strategic priorities.
  • Coordinate global and domestic travel, i.e., logistics, itineraries, and briefings.
  • Anticipate executive needs and act proactively to ensure the SVP is prepared for all meetings and engagements.
  • Screen and prioritize correspondence to ensure timely and professional follow-up.
  • Support preparation for operational reviews, business updates, and plant visits.

Stakeholder Engagement & Communication

  • Act as a professional point of contact between the SVP and internal/external stakeholders.
  • Support communication flow with Operations and Manufacturing leadership across global regions.
  • Facilitate planning and logistics for key leadership events, executive meetings, and business reviews.

Operational and Administrative Excellence

  • Prepare presentations, reports, and documents with a high level of accuracy and formatting.
  • Manage expense reports, procurement processes, and vendor engagement as required.
  • Lead or support special projects and confidential initiatives on behalf of the SVP.
  • Optimize administrative workflows to enhance productivity and effectiveness.

Basic Qualifications

  • High School Diploma or GED
  • 7+ years of experience supporting senior executives, i.e. C-suite or global leadership

Preferred Qualifications

  • Bachelor’s degree
  • Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word)
  • Experience with collaboration tools such as Zoom and Microsoft Teams
  • Demonstrated ability to manage sensitive information with utmost discretion
  • English written and verbal communication skills with meticulous attention to detail
  • Judgment, prioritization, and time management in high-pressure situations
  • Organization skills to manage logistics and plan for key leadership events, executive meetings, and business reviews.
  • Professional and consistent tone in communications which aligns with organizational standards
