Position Summary:

We are seeking a dedicated and versatile Facilities Administrative Assistant to join our team. The ideal candidate will possess strong organizational skills, a keen attention to detail, and the ability to perform light maintenance and material handling tasks. This role is crucial in ensuring the smooth operation of our facilities and supporting our administrative functions.

Responsibilities

What You'll Do:

• Administrative Support: Provide administrative assistance to the facilities management team, including scheduling, record-keeping, procurement, and communications.
• Maintenance Tasks: Perform light maintenance duties, including minor repairs and troubleshooting.
• Material Handling: Assist with shipping and receiving, as well as the handling and management of materials.
• Facility Coordination: Ensure that meeting rooms and common areas are set up and maintained in accordance with company standards. Manage procurement and stock of facility supplies, including office space and break rooms.
• Vendor Liaison: Coordinate with vendors and service providers to facilitate maintenance and repairs.
• Safety Compliance: Assist with the management and communication of facility safety programs and protocols.
• Documentation: Maintain accurate records of maintenance activities, inventory levels, and facility-related expenses.
• Reception: Receive visitors and coordinate site visits and tours as needed.
• Emergency Response: Assist with emergency preparedness and response as needed.
  
  

Qualifications

Minimum Requirements:

• Experience: Previous experience in administrative support.
• Skills: Proficient in Microsoft Office Suite.
• Communication: Excellent verbal and written communication skills.
• Problem-Solving: Ability to troubleshoot minor maintenance issues.
• Attention to Detail: Meticulous in record-keeping and facility organization.
• Team Player: Strong interpersonal skills and ability to work collaboratively.
  
  

Preferred Requirements:

• Previous experience with facilitating on-site inspections, fire drills, and maintaining first aid.
• Eagerness to learn about facility needs and how to maintain them.
• Experience working in a fast-paced facility environment.
  
  

Physical Requirements:

• Full-time position with standard office hours and occasional off-hour coverage.
• Occasional lifting and moving of materials up to 50 pounds.
• Work environment includes both office settings and facility areas.
• Capability to perform light physical tasks and handle materials safely.
