As we continue to grow, we are seeking an experienced Fractional Chief Operating Officer to partner directly with our Founder & CEO.

This is not a traditional Practice Administrator or Office Manager role.

We're looking for an experienced healthcare executive who loves building operational excellence. You must love creating clarity, strengthening teams, improving systems, and helping organizations grow with intention.

Our Founder leads the vision, culture, and strategic direction of Zeeva. We're looking for an operational partner who will help transform that vision into exceptional execution.

About The Role

As Zeeva's Fractional COO, you will oversee the business operations of the organization while partnering closely with our Founder and leadership team.

Your role is to build systems, create accountability, develop leaders, solve operational challenges, and ensure every department has the structure and support needed to succeed.

You will oversee the operational side of the client experience while partnering with clinical leadership, who remain responsible for clinical care, supervision, and clinical quality.

Your First Week

Within your first week, you'll complete an operational assessment and present a written execution roadmap outlining priorities for your first 90 days.

Your Roadmap Should Include

  • Operational assessment
  • Highest-priority initiatives
  • Revenue Cycle Management assessment
  • Department ownership and accountability
  • Executive KPIs and dashboards
  • Leadership meeting cadence
  • 30-, 60-, and 90-day milestones

Your First 90 Days

Your first priority will be building a stronger operational foundation for the organization.

Key Priorities Include

Revenue Cycle Management (Highest Priority)

  • Assess and optimize our revenue cycle.
  • Standardize billing workflows and accountability.
  • Implement executive dashboards and operational KPIs.
  • Improve visibility into claims, denials, collections, payment posting, and financial performance.
  • Build an operational framework that allows our billing department to operate consistently, proactively, and efficiently.

Operations

  • Clarify ownership and accountability across departments.
  • Strengthen operational workflows.
  • Establish executive scorecards and leadership operating rhythms.
  • Improve cross-functional communication and execution.

Technology

Evaluate and optimize our technology ecosystem to improve efficiency, reporting, automation, and scalability.

Client Care

  • Standardize and strengthen the client experience from first inquiry through ongoing care.
  • Improve scheduling, CRM workflows, automation, and operational reporting.
  • Build visibility into conversion, retention, and client experience metrics.

Human Resources

Partner with HR to strengthen onboarding, offboarding, operational compliance, documentation, and internal systems.

Qualifications

We're looking for someone who has successfully led operations within a growing healthcare organization.

Strong preference will be given to candidates with experience in:

  • Behavioral health or multi-provider outpatient healthcare
  • Revenue Cycle Management (RCM)
  • Insurance billing operations
  • Executive operational leadership
  • KPI development and executive reporting
  • Healthcare technology implementation
  • Process improvement
  • Organizational design
  • Leading cross-functional teams
