The Government Affairs Administrative Assistant will be based in Washington DC and is responsible for providing and coordinating administrative support to the State Government Affairs Senior, Director for Mid-Continent Region and serve as backup support to the Federal Affairs Senior, Administrative Assistant.

  • This is an onsite position in our Washington, DC office.
What You’ll Do

Managing schedules/calendars, including facilitating conferences and meetings.

Arranging domestic and international travel.

Processing expense reports.

General office administration, correspondence and documentation.

Preparing and revising consultant contracts.

Processing vendor invoices, political contributions and charitable donations.

Overseeing regional budget.

Managing state-level lobbying disclosure reporting and annual lobbyist registrations.

Coordinate attendance at P66 sponsored trade organization events and activities.

Issue identification and tracking through LegisOK.com as required.

Providing support for employee civic engagement initiatives, including candidate Get Out the Vote forums and voter participation efforts.

Communicating with internal clients and external resources to advance priorities.

Distributing mail and preparing all forms of special delivery.

Ordering office and break room supplies.

Assisting with the use of technology systems including video conferencing, and workflow systems.

Adhering to Information Governance practices and corporate records retention schedules in the handling of government affairs work team files.

Other administrative duties as assigned by the supervisor and work team.

What You’ll Bring – Required

Legally authorized to work in the job posting country

High school diploma or GED

3 or more years of experience as an Administrative Assistant

Proficiency and knowledge of all Microsoft Office applications

Intermediate proficiency with Microsoft Office applications

Travel to Houston or other company locations may be required 1-2 per year

What Makes You Stand Out – Preferred

Knowledge of lobbying compliance and ethics

Experience in supporting Government and/or Political Affairs teams

Understanding and adaptability to digital technology and evolving ways of working

Ability to successfully work and collaborate at a variety of position levels from peer groups to upper-level management

Must be flexible and willing to assist with a variety of administrative tasks including occasionally working outside of normal business hours to assist with onsite meetings and events

Developed interpersonal, written, and verbal communication and organizational skills

Strong focus on attention to detail

Ability to prioritize multiple tasks and adapt quickly to change

Ability to proactively solve problems and achieve deliverables

Appropriate use of good judgment and discretion

Understanding and appreciation for working with highly sensitive and confidential information is a must

Advanced experience with Excel and PowerPoint is a plus

Bachelor’s Degree

Compensation Range

This position has a base salary range of $83,900- $102,520.
