STATEMENT OF DUTIES

Summary Of Job Classification

Provides entry level case processing assistance and customer service via counter, telephone, and electronic means. Creates new cases, processes pleadings, accepts payments, and related work. Serves in a training capacity in all areas of more advanced responsibilities.

Additional Comments

This position is intended to fill vacancies for courtroom staff. Courtroom staff work directly with Judicial Officers, attorneys, various outside stakeholders, and the public. Case types may vary, ranging from criminal, domestic, juvenile, civil, misdemeanor, and traffic. We are looking for staff with strong organizational and communication skills who are self-driven, and capable of using various forms of technology.

Salary offers within the posted range will be determined based on several factors, including relevant experience, budget availability, and compliance with the Equal Pay for Equal Work Act. Offers will align with the Colorado Judicial Department's compensation step plan. Please highlight all relevant experience you wish to have considered during the selection process.

Essential Functions

To perform this job successfully, an individual must be able to perform assigned essential functions listed below satisfactorily.   • Assists customers with paperwork, answers questions, reviews court forms for completeness, and assigns case numbers.
  • Receives and processes incoming correspondence via email, mail, e-filing, and in-person filings, and distribution.
  • Directs customers to appropriate services such as legal clinics, self-help information and specialists, Supreme Court and local libraries, the bar association, or family court facilitators.
  • Maintains case documentation and updates case management system, including adding case information and documentation to case management system, updating case information, updating contact information, processing bond forfeitures, and entering transcript requests. Adheres to data integrity and timelines per applicable laws and regulations.
  • Transfers information from law enforcement tickets or information filed into the case management system.
  • Manages scheduling for time sensitive cases, such as cases requesting protection orders or other emergency matters. Ensures court-scheduled events and review dates are entered in every case.
  • Receives and processes referring court records from the trial court. Maintains the referring court record server. Transmits records to litigants. Processes and returns records upon mandate.
  • Accepts and processes payments via cash, check, and credit card for court fines, fees, filing fees, and bonds. Reconciles cash drawer and income daily and prepares the daily deposit.
  • Responds to customer's inquiries via phone, email, and voice mail. Acts as liaison between division/Judicial Officer and customers, directs parties to correct location and/or divisions, de-escalates situations of stress or conflict, and explains court processes without providing legal advice.
  • Trains within trial court/appellate court procedures.
  • Issues orders and notices from the court, including orders regarding case deadlines, orders of extension of time, notices of new case filings, notices of oral argument, receipt of trial court records, and mandates returning authority to a trial court once case is complete. Ensures service to all necessary litigants and trial/appellate courts.
  • Completes required trainings and attends meetings as requested.
  • Performs other duties as assigned.

Work requires the use of basic skills and general knowledge of work. Incumbent can complete basic or routine tasks, but frequently references others for non-routine tasks. Likely impact on organization is standard.

Fiscal Responsibility

May be responsible for the billing, collection and/or accounting of funds. May be responsible for the handling and balancing of cash.

Education and Experience Equivalency:

High school diploma or G.E.D.

Physical Effort Requirements

Exerting up to 10 pounds of force occasionally, a negligible amount of force frequently, and/or constantly having to lift, carry, push, pull or otherwise move objects. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally.
