About The Position

The Marketing Operations Assistant will play a crucial role in supporting the efficiency and effectiveness of our Business Processes Department, particularly assisting with day-to-day administrative tasks, scheduling, communication, and documentation. Additionally, this role will provide key support to our Marketing Coordinator in preparing, assembling, and submitting Requests for Qualifications (RFQs) and other marketing-related tasks.

Key Responsibilities

Administrative Support:

  • Assist the Business Processes team with scheduling and gathering materials for meetings i.e preparing meeting agendas, following up on action items, etc.
  • Assist Director with documentation of company processes (i.e Standard Operating Procedures)
  • Assist Business Processes team with implementation of new company platforms/software.
  • Coordinate internal communication, ensuring messages and directives are clear and timely.
  • Organize and maintain digital filing systems and company documentation.
  • Assist in creating presentations, reports, and correspondence.
  • Provide general administrative support as needed (e.g., ordering marketing materials, updating internal platforms, compiling/researching requested information).
  • Assist with social media, online presence and brand management by creating and scheduling content, monitoring engagement, and ensuring alignment with company messaging and visual identity across platforms.

Marketing And RFQ Support

  • Assist Marketing Coordinator with preparation, coordination, and submission of RFQ packages.
  • Gather, format, and maintain up-to-date resumes, project sheets, and company qualifications.
  • Proofread, edit, and ensure accuracy and completeness of RFQ documents.
  • Coordinate with internal teams to gather information needed for marketing efforts.
  • Maintain marketing and business process documentation and databases.

Requirements

  • 2+ years of experience in an administrative or related support role preferred.
  • Bachelor’s or Associate’s Degree required (marketing, communication, business or related field preferred)
  • Experience with RFQ or proposal preparation preferred.
  • Strong organizational skills and attention to detail.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Experience with CRM and project management software (such as Zoho, Basecamp, Unanet-AE) a plus.
  • Working knowledge of Adobe Create Suite preferred.
  • Ability to manage multiple tasks and deadlines effectively.
  • Professional demeanor and ability to handle confidential information responsibly.

  • Starting at $20 per hour depending upon experience
