Position Overview

We are seeking an experienced and highly organized Meeting & Event Manager to oversee the logistical planning and execution of all client and partner events, educational seminars, and celebratory functions. In this role, you will be responsible for coordinating a diverse array of events, including our Annual Partnership Meeting, Awards Ceremonies, Attendance Builders, and sponsored events. Your primary focus will be to ensure seamless and successful event execution, delivering exceptional experiences for all attendees.

Key Responsibilities

  • Collaborate with cross-functional teams to establish event goals, themes, and tactics aligned with organizational objectives.
  • Develop comprehensive event plans, timelines, and itineraries, ensuring all critical milestones are met.
  • Manage event registration processes and oversee vendor contracting and negotiations for various services.
  • Conduct pre-event and post-event meetings to align teams, review roles and responsibilities, and identify areas for improvement.
  • Liaise with venues, suppliers, and partners to coordinate event logistics, including site visits and venue setup.
  • Effectively manage event budgets, track costs, and process payments while adhering to established financial guidelines.
  • Oversee the recruitment, training, and management of event volunteers and staff.
  • Collaborate with the Marketing team to develop consistent branding, signage, and marketing materials for events.
  • Foster positive relationships with clients, partners, and vendors to deliver exceptional event experiences.
  • Embrace diversity, equity, and inclusion principles, actively contributing to a welcoming and inclusive environment.

Qualifications And Experience

  • Bachelor's degree in Hospitality, Business, or a related field, or equivalent professional experience.
  • Minimum of 5-7 years of proven event planning experience, with a strong preference for candidates with 7+ years of experience.
  • Hospitality industry experience and Certified Meeting Professional (CMP) designation are highly desirable.
  • Excellent project management and organizational skills, with the ability to multitask and prioritize effectively.
  • Proficiency in Microsoft Office suite (Outlook, Excel, PowerPoint), Canva, and other relevant software.
  • Strong communication and presentation abilities, with the confidence to speak before groups and direct activities.
  • Ability to work independently and collaboratively in a fast-paced environment, with occasional travel requirements.
  • Willingness to work flexible hours, including early mornings, evenings, weekends, and holidays as needed.
  • Valid, unrestricted driver's license in the state of Michigan.
