Department Oversight
Key Responsibilities (include but not limited to):
- Lead and supervise the Front Office team (reception, patient check-in/out, phones, records).
- Oversee the Scheduling (back office) team, ensuring timely and accurate patient scheduling.
- Monitor department performance, provide coaching, and support ongoing training and development.
- Collaborate with Clinic Directors to maintain smooth daily operations.
- Manage clinic inventory and supply ordering; track usage and maintain stock levels.
- Serve as point of contact for vendor relationships, service contracts, and supply deliveries.
- Ensure compliance with clinic policies, safety standards, and regulatory requirements.
- Monitor and optimize workflow processes across administrative teams.
- Participate in staff hiring, onboarding, and evaluations for office departments.
- Coordinate with billing and clinical teams to resolve scheduling or documentation issues.
- Support internal communications and team meetings; prepare reports as needed.
Qualifications:
- Associate’s or Bachelor’s degree in Healthcare Administration, Business, or related field preferred.
- 3+ years of office management experience, preferably in a healthcare or behavioral health setting.
- Proven leadership and staff supervision experience.
- Strong knowledge of healthcare scheduling systems and front + back-office procedures.
- Excellent interpersonal, organizational, and multitasking abilities.
- Proficiency in EHR/EMR systems and Microsoft Office Suite.
