Job Summary:
The Operations Administrative Coordinatorprovides comprehensive administrative support to both the Operations and Construction Services Departments, reporting directly to the Operations Support Supervisor (OSS). This position also supports the Chief Operating Officer (COO), Vice President of Construction (VPC), and Director of Operations (DO) on various cross-departmental initiatives and special projects. Key responsibilities include departmental functions such as fleet asset documentation, power fleet maintenance record management, purchase order coordination, maintaining asset worksheets, and accurate tracking of maintenance, lease contracts, procedural updates, and vehicle registrations.

Job Summary:
The Operations Administrative Coordinatorprovides comprehensive administrative support to both the Operations and Construction Services Departments, reporting directly to the Operations Support Supervisor (OSS). Key responsibilities include departmental functions such as fleet asset documentation, power fleet maintenance record management, purchase order coordination, maintaining asset worksheets, and accurate tracking of maintenance, lease contracts, procedural updates, and vehicle registrations.
Essential Functions:
- Offers administrative support to the OSS and other key Operations department.
- Performs routine document updates, including stock availability worksheets and lease tracking documentation.
- Prepares stock Fleet Purchase Orders (POs) for submission and manages receipts and invoices associated.
- Updates fleet factory drawings in D365 and the Z: Drive fixed asset directory
- Maintains and updates the Stock Availability Worksheet (SAW).
- Provides document management support for departmental and project-based initiatives led by OSS.
- Conducts routine data entry and status of fleet assets in D365.
- Manages updates to policy and process documentation as directed by OSS.
- Assist in maintaining and tracking safety documentation as part of compliance efforts.
- Supports Power Fleet operations, including toll pass account updates, vehicle checklist preparation, maintenance tracking data entry, and compliance documentation.
- Manages purchase orders for light-duty vehicle acquisitions.
- Assist in preparing purchase orders for corporate development projects.
- Provides administrative support for fleet asset management (excluding Power Fleet tasks) related to refurbishment objectives.
- May participate in Operational L10 meetings to support departmental alignment.
- Assists with scheduling and communication planning for events, meetings, and crossdepartmental initiatives.
- Handles routine scheduling and meeting preparation tasks, including drafting agendas and updating communication channels.
- Education: High school diploma or equivalent required
- Experience: 1–3 years in an administrative position role
- Certifications/Licenses: Valid driver’s license required
- Skills: Excellent organizational and communication skills; proficiency with Microsoft Office Suite; ability to manage multiple priorities; attention to detail.
- Associate degree or coursework in administrative management, business, or related field.
- Experience in the modular industry.
- Experience in fleet management.
- Primarily office-based with periodic travel to attend meetings or company events may be expected.

- Must be able to sit for extended periods, use a computer, and occasionally lift up to 25 pounds.
