This position is open in our St. Louis, MO office.

The Proposal Database and Team Coordinator works closely with the proposal team to support the timely execution of responses to RFPs/RFIs/RFQs, pitches and proposals, and with the Proposal Content Strategist to maintain the proposal management software. This role is responsible for all administrative aspects of the proposal team, serving as the control center for all proposal development activities, coordination of timelines and data tracking. The Proposal Database and Team Coordinator also collaborates with the Proposal Content Specialist to maintain the technical aspects of the proposal management software and perform data tracking, data management and metrics reporting. Essential job functions include:

  • Provide broad-based administrative support for Proposal Team efforts, including maintenance of various databases, office records and calendars and travel itineraries.
  • Work closely with the Proposal Content Specialist to maintain Responsive software's technical aspects, including software integrations, custom field updates and intake/project functionality features.
  • Maintain Responsive software schedule for ongoing collaboration across the firm, with schedule overseen by the Proposal Content Specialist.
  • Produce, verify and analyze reports for distribution.
  • Coordinate with the Conflicts Management and Conflicts Counsel teams for all incoming proposal team projects, including follow up and distribution of action items.
  • Track DE&I statistics for all Proposal Team projects and coordinate with the DE&I team in support of Mansfield Reporting and other DE&I initiatives.
  • Support the tracking of attorney outreach regarding proposal/RFP win/loss status, including any feedback from clients regarding why the firm won/lost, working in collaboration with the Senior Proposal Manager to encourage and advise attorneys to seek out those answers if not provided.
  • Manage data and related analysis of Attorney Outreach Program, working closely with the Senior Proposal Manager to assess and prepare reports and action items.
  • Prepare monthly reports, in close collaboration with the Proposal Content Specialist, detailing SBU, PSC and other data-specific proposal metrics for submission to Senior Proposal Manager, Client Development Director, Chief Client Officer, and other firm leaders.
  • Provide proofreading as needed, with support and direction from the proposal specialists and strategists.
  • Serve as the touchpoint for data gathering from all other firm administrative departments, including attorney experience, awards and recognitions, client success tracking and firm developments.
  • Coordinate with various administrative teams across the firm to maintain necessary database information, including Foundation, InterAction and others.
  • Develop strong relationships with proposal team, client development team, senior leadership and attorneys.
  • Provide excellent internal client service, including responding promptly to client requests, meeting commitments and managing demanding attorney situations.
  • Support work in multiple proposal campaigns simultaneously.
  • Assist with scheduling, including go/no-go discussions, kickoff calls and others as required.
  • Other administrative work and responsibilities as assigned.

POSITION-SPECIFIC REQUIREMENTS

  • High School Diploma or GED required; Associate's or Bachelor's degree in English, Journalism, Marketing, Communications or related field; or combination of education and commensurate work experience preferred.
  • Excellent computer skills with proficiency in Word and PowerPoint; knowledge of Excel and Internet research tools required.
  • Proficient in Acrobat and MS Teams
  • Excellent oral and written communication skills.
  • Outstanding organizational skills and attention to detail.
  • Skilled team player with ability to negotiate approvals diplomatically, handle sensitive initiatives confidentially and maintain composure and quality under deadline pressure.
  • Ability to think strategically and creatively.
