We are searching for an organized, enthusiastic individual to take charge of the reception area and administrative duties at our District Office.

Job Purpose

  • The Receptionist provides general office support with a variety of clerical activities and related tasks.
  • The individual in this position will be responsible for answering incoming calls, directing calls to appropriate employees, supporting management with projects when necessary, directing the flow of correspondence, as well as additional clerical duties.
  • They will be the first point of contact for both visitors and callers so a positive disposition along with strong communication skills & the ability to create a welcoming environment are a plus.

Essential Requirements, Duties, And Responsibilities

  • Answer telephones and directs the caller to the appropriate employee/extension. Transfer a caller to an employee’s voice mailbox when the employee is unavailable.
  • Greeting prospective families and handling first level inquiries before guiding them to the relevant staff or department.
  • Greeting visitors and directing them to the appropriate parties.
  • Answering questions and finding information for employees, vendors, and other visitors or callers.
  • Supporting employees by facilitating interdepartmental communications and interactions between internal and external parties.
  • Handling basic office and clerical duties, such as answering and routing phones, taking messages, responding to emails, data entry, photocopying, faxing, filing and collating, and reporting.
  • Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)
  • Track inventory for office supplies and maintain and organize the office supply storage areas.
  • Ensuring that the office is well-maintained, organized, and secure.
  • Assisting with special projects, such as process & space improvements.
  • Accomplishes all other tasks and duties as required or assigned

Education, Knowledge And Skills

  • Possession of an Associate’s degree or higher.
  • 1-2 years of relevant experience and/or training, or equivalent combination of education & experience.
  • Meticulous approach to administrative tasks.
  • Exceptional interpersonal, written, and verbal communication skills.
  • Professional appearance and courteous manner.
  • Strong task and time management skills.
  • Basic math abilities and an understanding of basic financial concepts.
  • Ability to read, analyze, interpret documents and reports
  • Ability to work independently on assigned tasks as well as to accept direction on given assignments
  • Excellent time management skills and ability to multitask and prioritize work
  • Attention to detail and problem-solving skill
  • Proficiency with MS Office along with office technology and equipment, including printers, copiers, scanners and computers.
  • Effectively write letters, memo’s, respond to inquiries either verbally or written.
  • Capable of presenting information to senior management that has been researched for accuracy and content
  • Creativity and strong problem-solving skills.
  • Bilingual – Spanish and English – is a plus.
  • Proven administrative or clerical experience in a school – is a plus.
  • Must be able to pass an initial fingerprint and background clearance check and maintain a valid fingerprint clearance card at all times.
  • May be required to work outside normal working hours.
  • May be required to lift and carry heavy, bulky supplies and materials weighing up to 20 pounds.
