PRIMARY DUTIES & RESPONSIBILITIES

The Records Lead Specialist is responsible for collecting, storing and disseminating criminal information and reports to Police personnel and the public. Responsible for training and training material.

The hiring range for this position is $29.89 - $37.36 hourly.

PRIMARY DUTIES & RESPONSIBILITIES

  • Trains employees in increasingly high liability and technical tasks.
  • Creates and maintains training material.
  • Imports, updates, and quality control of computer-generated reports.
  • Tracks, distributes, files and scan documents.
  • Advises citizens of procedures and laws
  • Researches and solves report, record, and identification problems.
  • Organizational knowledge to route reports and prompt system notifications to units within the organization for follow up.
  • Data entry
  • Routes information internally for follow up.
  • Maintains complex record keeping and reporting systems; enters, modifies, and updates multiple data bases in local, State and National computer systems.
  • Works extensively with Law Enforcement personnel both internally and from other jurisdictions; communications both verbal and electronic.
  • Maintains accurate criminal history and warrant information.
  • Gathers, checks, compiles, and prepares a variety of information for administrative and statistical reports.
  • Operates a variety of office machines.
  • Disseminates information to City Prosecutors and District Attorneys; follows record dissemination laws, policies and procedures.
  • Refers calls for police service to dispatch when an officer is required
  • Interviews crime victims and reviews information on police reports
  • Intake and process or deny access to criminal justice records and reports requested by the public.
  • Intake and process court orders impacting release of information.
  • Creates and maintains training material.
  • Troubleshoots, researches, and solves digital evidence/media questions/issues.
  • Trains employees in increasingly high liability and technical tasks.
  • Responds to a variety of inquiries requiring the interpretation of policy and procedures.
  • Assists in developing operational priorities, goals, and objectives.
  • Oversees unit activities when a supervisor is unavailable.
  • Coordinate and schedule City employees (primarily sworn officers) availability to respond to Court subpoenas resulting from criminal proceedings
  • Coordinates and monitors officer's court appearances
  • Collection, logging and dissemination of subpoenas received by department members
  • Performs additional duties as assigned.

MINIMUM QUALIFICATIONS & WORKING CONDITIONS

Education:

  • High School Diploma or GED. The selected candidate will be required to submit proof, in the form of an official transcript of the highest level of education completed as indicated on their application and/or resume

Experience:

  • One (1) year of experience in a Law Enforcement Records Section
  • Two (2) years of general office or clerical experience including data entry and customer service experience.

Licenses and Certifications:

  • CCIC/NCIC certification preferred, but also required within 6 months of employment.
  • Colorado Certified Records Network (CCRN) Master Certification preferred but not required.

Knowledge:

  • Knowledge of office practices and procedures; business English.
  • Manual and computer filing and records management systems and databases.
  • Office software; Word, Windows.

Skills:

  • Skill in passing a CritiCall Exam, that measures skills in 10 different competencies which include: Data entry, sentence clarity, and multi-tasking.

Abilities:

  • Ability to establish and maintain effective working relationships with employees and citizens.
  • Handle stressful situations with tact and diplomacy.
  • Communicate effectively both orally and in writing.
  • Perform complex data entry activities, attention to detail.
  • Work any shift (Days, Nights, Weekends) including holidays.
    • Please note that the Records Division cannot guarantee shifts.
    • Shifts are Bid on each year based on seniority.
  • Ability to give and receive constructive feedback.

WORKING CONDITIONS

Essential Personnel:

  • When a local announcement of emergency or disaster is declared by the City, all City of Aurora employees may be required to work as essential personnel.

Physical Demands:

  • Light work that involves moving no more than 20 pounds at a time
  • Frequent lifting, carrying, walking, and standing.
  • Hand/eye coordination to operate computer keyboard.
  • Vision to read and interpret reports, documents, and other written information.
  • Frequent speech communication and hearing to maintain communication with employees and citizens.
  • Memory to retain updated processes, complete tasks that are important but infrequent and highly technical tasks.
  • Critical thinking to navigate technical tasks; use resources when unsure and Lead or Supervisor is not available.
  • Judgment to ensure confidential information remains protected

Work Environment:

  • Essential duties performed primarily in clean, comfortable environment with some shared workstations and equipment.
  • Shift work to include days, nights, working weekends and holidays.
  • Available schedules include full in office or hybrid work.

Equipment Used:

  • Frequently uses computer keyboard and telephone, fax machines, copiers, and microfilm equipment.

This position may require the incumbent to occasionally use personal equipment (e.g. vehicle, cell phone, tools, etc.) in the course of their employment.

The city of Aurora will implement furlough days (unpaid days off) for most employees in 2026. The scheduled furlough dates are January 16, April 10, July 2, and December 24.
