Overview

The REDCap System Administrator will manage and support the REDCap (Research Electronic Data Capture) platform, a web-based HIPAA-compliant data collection software used by medical center investigators for research data that includes protected health information (PHI). This role involves administrative tasks, user support, and collaboration with various stakeholders to develop high-quality data collection tools.

Responsibilities

REDCap Administration (40%):

  • Coordinate testing monthly and ad-hoc REDCap upgrades.
  • Serve as a liaison between technical staff (Database Administrators, Digital Foundations Team, IT Security) and end users.
  • Assist in the development and review of policy, procedure, and security documents.
  • Support integration of the REDCap API and other software solutions.
  • Test functionality of REDCap external modules.

End User Support (50%):

  • Provide end user support, including creation and management of user accounts, approving user requests for database changes, responding to user questions, and communicating best practices.
  • Develop and conduct training sessions for end users.
  • Triage, escalate, and summarize end-user requests to senior REDCap Administrators.

External Collaboration (10%):

  • Participate and represent Mount Sinai Medical Center of Florida in the REDCap Consortium.
  • Provide support to Research Institute staff and Researchers.
  • Perform additional job-related duties as required.

Technical Proficiency

  • Strong technical proficiency in REDCap platform features, including form design, data validation rules, branching logic, and data export options.
  • Create and maintain REDCap projects by designing data collection spreadsheets/forms, defining data fields, setting validation rules, and managing project access levels.
  • Troubleshoot REDCap-related issues, providing technical assistance to researchers, data collectors, and clinical staff.
  • Collaborate with researchers to design efficient data collection workflows and ensure data integrity.
  • Implement and manage data security protocols to protect sensitive patient information while adhering to regulatory requirements.
  • Monitor data quality, identify and resolve errors, and work closely with research teams to translate study objectives into effective REDCap designs.
  • Act as the primary liaison between clinical leaders, research teams, and IT, facilitating the planning, development, and evaluation of clinical and research information systems.
  • Provide leadership in implementing new features, system upgrades, and workflow optimizations.
  • Conduct training sessions for research staff and clinical users on data entry, system functionality, and best practices.
  • Document functional and technical requirements, develop test plans, conduct system testing, and create user manuals.
  • Work with vendors to align REDCap and clinical system implementation strategies with the organization's goals.
  • Ensure seamless integration between REDCap and clinical information systems to support research and operational needs.
  • Provide ongoing system performance monitoring, troubleshoot anomalies, and recommend improvements.
  • Assist in developing policies and procedures for system usage, ensuring compliance with institutional and industry standards.

Minimum Requirements

  • Bachelor's or Master's Degree in a related field such as health information management or computer science with a strong understanding of medical terminology, healthcare data management, and IT systems.
  • Minimum 3 years experience as system administrator for the REDCap platform.
  • Advanced proficiency in programming languages and EHR software, such as Structured Query Language (SQL) and Epic.
  • Minimum 3 years experience in healthcare informatics,
  • Experience with project management, including new system implementations - Experience with RedCap implementation preferred
  • Effective written and verbal communication skills, with the ability to interact with diverse stakeholders, including researchers, hospital representatives, and regulatory bodies.
