Job Summary:

Under the direction of the Director, Public Relations Administration, the Special Events Coordinator helps to plan and execute corporate and customer events that support Tenaska’s business objectives and brand experience. This role assists with managing event logistics from concept through post-event follow-up, including invitations, registration forms, promotional items, on-site coordination, and budget tracking. The position provides event-related communication support to help deliver organized, high-quality experiences for employees, customers, and other stakeholders.

Essential Job Functions:

  • Collaborate with business units to understand event objectives, audience needs, and budget considerations.
  • Develop event concepts, materials, and proposals that align with business goals and stakeholder expectations.
  • Coordinate all event logistics, including venue selection, catering, audiovisual needs, décor, printed materials, nametags, vendor management, and travel coordination.
  • Create and manage event registration tools, forms, web pages, and related communications.
  • Develop and maintain detailed event timelines, schedules, and task lists to support effective planning and execution.
  • Oversee on-site event setup, execution, and teardown to ensure a seamless participant experience.
  • Track event budgets and support expense reporting related to event planning and execution.
  • Communicate with internal stakeholders, vendors, and other partners throughout the planning process to ensure alignment and timely follow-up.
  • Conduct post-event evaluations to gather feedback, assess outcomes, and identify opportunities for improvement.
  • Maintain customer and event-related information in designated systems, including the CRM platform.
  • Resolve event-related issues promptly and professionally as they arise.
  • Maintain reliable and predictable attendance, including flexibility to support events outside standard business hours when needed.

Education/Experience/Requirements:

  • Associate or bachelor’s degree in event management, communications, hospitality, business, or a related field, or equivalent relevant experience.
  • Experience planning, coordinating, and executing corporate and/or customer events.
  • Strong organizational and time management skills, with the ability to manage multiple projects, deadlines, and details in a fast-paced environment.
  • Strong written, verbal, and interpersonal communication skills, with the ability to collaborate effectively with internal stakeholders, vendors, and other partners.
  • Attention to detail, sound judgment, and problem-solving skills.
  • Proficiency with Microsoft Office and experience using event registration tools, form platforms, CRM systems, or other event-related technology.
  • Flexibility to work evenings and weekends and travel as needed to support events.
