Position Summary

The Staff Accountant plays a vital role in maintaining accurate financial records and supporting the fiscal management of the organization. This position focuses heavily on accounts payable while ensuring compliance with grant and funder requirements, internal policies, and non-profit accounting principles.

Key Responsibilities

Accounts Payable (AP) - Primary Focus

  • Process high volumes of vendor invoices weekly, ensuring accuracy and proper approvals.
  • Ensure timely payment of bills and maintenance of vendor files.
  • Prepare weekly check runs, ACH batches, and credit card reconciliations.
  • Maintain accurate records for audit and compliance purposes.
  • Reconcile vendor statements and resolve discrepancies promptly.

General Accounting

  • Assist in month-end and year-end closing processes.
  • Prepare journal entries, accruals, and bank reconciliations.
  • Maintain general ledger entries related to AP and expense accounts.
  • Support budget tracking and fund allocation in collaboration with program managers.

Compliance & Internal Controls

  • Ensure adherence to GAAP and funder-specific rules (e.g., Medicaid, SAMHSA, HRSA).
  • Maintain documentation for all expenditures in accordance with internal controls and audit standards.
  • Support audit preparation by gathering necessary AP documentation and responding to inquiries.

Other Duties

  • Support other finance functions such as Accounts Receivable or Grant Reporting when needed.
  • Assist with implementing financial policies and procedures to improve operational efficiency.
  • Train and support program staff in expense coding and invoice submission.

Qualifications

Education & Experience

  • Associate's or Bachelor's degree in Accounting, Finance, or related field.
  • 2-4 years of accounting experience, with at least 1-2 years in Accounts Payable.
  • Experience in a non-profit or behavioral health setting preferred.
  • Familiarity with fund accounting and cost allocations is highly desirable.

Skills & Competencies

  • Proficiency in accounting software
  • Strong knowledge of Excel and comfort with data entry and reconciliation.
  • Detail-oriented with excellent organizational and time management skills.
  • Ability to handle confidential information with integrity.

Preferred Attributes

  • Experience with government grants and reporting (e.g., Medicaid billing, grant compliance).
  • Understanding of Uniform Guidance (2 CFR Part 200).
  • Bilingual (English/Spanish) may be beneficial.
