Description of primary duties and responsibilities:

Primary Purpose of the Organizational Unit:

The mission of Rudolph Jones Student Center is to provide a dynamic and inclusive experience where quality facilities and services meet engaging programs and activities centered on helping students excel well beyond graduation.

Primary Purpose of the Position:

The Student Services Specialist is an integral part of the daily operations of the Rudolph Jones Student Center. The specialist oversees the Student Center facility and activities held during evenings and weekend hours in accordance with the university’s policies and procedures and coordinates, advises, and supervises the student programming board, Weekend Activities Committee ( WAC ). This person is also responsible for strategic program planning, marketing, execution, and assessment to align with student growth and development that will engage students outside of the classroom. Other responsibilities include managing the budgets for WAC programming, as well as developing and maintaining a consistent print and online media presence and additional administrative functions related to the programmatic efforts of the Department and University. The specialist will provide ongoing leadership within the RJSC and work collaboratively with facilities staff to ensure meeting/event space cleanliness, operational status, and setup. He / She will also assist with support of general reservations, risk management, inventory control, customer service initiatives, and other projects as needed in support of the mission of the Rudolph Jones Student Center and Student Engagement Office within the Division of Student Affairs.

Program Management-45%:

  • Oversees the Student Center’s evening and weekend operations, cleanliness, and function, including event planning and production (e.g., Student Center reservations, audio-visual equipment operations, staffing, building set-up, etc.).
  • Develops and manages the approved Student Center Evening and Weekend sponsored programming budget, the Student Center production equipment operations and maintenance budget, and the evening and weekend staff budget.
  • Ensures that all event set-ups are done properly, meeting rooms are open on time, are clean and presentable, and meeting support equipment is in proper working order and staffed with a competent operator technician.
  • Researches develops and implements a slate of evening and weekend events initiated by the Student Center and approved by the Student Center Director. There are a minimum of two programs per week, with at least one event taking place every weekend (i.e., Saturday or Sunday), and programming should vary to satisfy the various Wellness Programming models.
  • Coordinates and performs preventative maintenance, impromptu repairs, replacement, and upgrades to the Student Center audio, lights, projection, and production equipment, including work done by myself, Student Center staff, Information and Technology Services, Physical Plant, and/or contractors.
  • Research best practices, coordinates and implements Student Center sponsored evening and
  • weekend programming suitable for the University demographics
  • Performs related or similar duties as required or assigned.


Work Hours: Primarily 3:00 pm – 12:00 am weekdays and 1:00 pm – 10:00 pm weekends

Description of Work Continued:

Managing Work and Performances-25%:

  • Supervises evening and weekend maintenance of the building to ensure high standards of
  • cleanliness; submits orders for facility supplies and equipment to the Student Center Director for
  • Consideration: identifies needs for maintenance and repair, submits subsequent work orders, and conducts follow-up.
  • Supervise and direct the work of the Student Center evening and weekend staff, including
  • creating staff position descriptions, employee hiring, evaluation, work scheduling, etc.
  • Reviews Student Center operations and fiscal procedures and makes recommendations for changes to the Student Center Director for consideration.
  • Manages Student Center audio-visual production and associated equipment and supplies, and
  • reorder supplies in sufficient time so that bench stock is not depleted and equipment is maintained in operational ready status 98% of the time minimum (said ready status includes system upgrades,
  • updates, preventative maintenance, etc.).


Client/Customer Services-10%:

  • Meets regularly with students, the Student Center Director, University administration, staff, and
  • auxiliary Student Services Specialist to create, develop, and implement services that increase student satisfaction.
  • Develops and implements a marketing plan for the Student Center to increase patronage and revenue streams.
  • Develops and implements Student Center-sponsored evening and weekend programming to include events such as movie nights, game room recreational tournaments, Superbowl Parties, University Celebrations centric to students, etc.
  • Collects customer client satisfaction data, makes recommendations for improvement to the Student Center Director based on the data collected and industry best practices, and implements changes approved by the Director or Senior Student Affairs official.
  • Is considered an essential University staff member and is required to report to work during inclement weather and other University emergencies as deemed necessary by supervision.


Information/Records Administration-10%:

  • Assists with implementing programs and activities sponsored by the Office of Student Engagement, including Welcome Week, Homecoming, Rodeo Week, and Mr. FSU and Miss FSU Competition and Pageant.
  • Designs method of collecting building-use statistics maintains records and prepares Evening and Weekend programming sections of the Student Center quarterly and annual reports.
  • Develops, submits for approval, and implements action plans for the Student Center evening and weekend programming that complement other University programming and Wellness programming models.
  • Researches analyzes and recommends policies and procedures for common matters in the Student Center that impact evening and weekend operations.


Coordination-Operations -10%:

  • Acts as the Student Center liaison with Campus Police to coordinate security and parking for programs taking place in the Student Center.
  • Serves as the Student Center’s primary point of contact for audio-visual equipment, television programming, and event production services.


Minimum Education and Experience Requirements:

Bachelor’s degree; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions

Knowledge skills and abilities:

  • Knowledge of facility operations and conference planning while being an excellent communicator and attentive to detail.
  • Knowledge and skill with computer applications such as reservation software, word processing, and electronic mail are essential.
  • Knowledge of staff development and learning;
  • Knowledge of equipment used in the presentation of events.
  • Demonstrated knowledge and experience in managing events.
  • Demonstrated abilities in management, event planning, and full-time staff supervision.
  • Ability to work as part of a team to assess structural deficiencies and implement effective organizational solutions.
  • Ability to assess individual students’ needs to design and implement training that is intentional, measurable, and a clear benefit to both the employer and the employee.
  • The ability to manage multiple projects with competing deadlines and identify and manage risk during events is essential..
  • Experience in a college/university setting, with special preference for work experience in a college union.
  • Experience with managing student employees in an environment committed to student learning Requires a high level of interaction to challenge, support, and develop college students.
  • Requires a high level of both independent and collaborative work.


Preferred Qualifications:

Master’s degree with preference in the fields of College Student Personnel, Parks and Recreation, or related field. Three (3) to five (5) years of experience with working in a student center/union or parks and recreation, preferably in a university college union setting.
