POSITION TITLE: Receptionist - FT

ND – ($14.00 - $22.15 Hourly)

GENERAL DESCRIPTION:

The Receptionist greets and directs callers and visitors to the appropriate individuals or services within the Authority. The position also provides a wide variety of responsible, confidential, and complex administrative and clerical duties for the Vice President of Marketing and Communications and other Authority departments.

POSITION REPORTS DIRECTLY TO: Vice President of Marketing and Communications

RESPONSIBILITIES INCLUDE:

Responsibilities and duties may include, but are not limited to, the following:

  • Addresses questions and inquiries and provides information to the public, staff, and the Authority Board as appropriate. Takes messages during absence of Authority staff. Responds to inquiries such as those concerning office contacts and locations by providing current information.
  • Responsible for development, maintenance and management of Raymond James Stadium lost and found program.
  • Schedules appointments for visitors with department or agency personnel.

  • Screens e-mail, telephone, and office inquiries; responds to complaints and requests regarding general Tampa Sports Authority information.
  • Compiles and types of correspondence, reports, and related documents assigned.
  • Provides administrative and clerical assistance to the Authority departments and clients as assigned.
  • Maintains and operates administrative office equipment including but not limited to the copy machine, fax machine, and multi-line phone system.
  • Distributes Authority correspondence and mail.
  • Use computer terminal to enter and retrieve information and prepare reports to support departmental activity to all Authority departments.
  • Assist in providing a safe environment free of harassment for department employees and ensure compliance with all Authority policies, applicable OSHA standards and local, state, and federal laws including the Americans with Disabilities Act of 1990.
  • Perform other duties, functions, special projects, and responsibilities, as assigned.

OTHER REQUIREMENTS:

  • The Receptionist shall have a thorough knowledge of policies, safety and fire regulations and procedures relating to the Authority.

  • Position generally requires regular office working hours Monday through Friday, although working stadium events is required as well. The performance of work assignments may not be directly related to job specifications and adjustment of shifts, breaks, etc., may be required upon short notice.

  • Ability to demonstrate oral and written communication skills in the English language.

  • Knowledge of current office procedures, methods, and basic record-keeping principles.

  • Type at a speed necessary for successful job performance.

  • Position requires ability to interact with fellow employees, clients, the public and outside vendors in a courteous, cooperative, and professional manner.

  • Ability to stand or sit for long periods of time.

  • Maintain a friendly public image as well as a positive, courteous, and mature attitude and demeanor when performing administrative services for customers and the public in all Authority managed facilities.

  • Exceptional organizational and interpersonal skills.

MINIMUM QUALIFICATIONS:

  • Minimum High School graduate or equivalent GED supplemented by appropriate business course completion. Graduation from an accredited business school, college, or university with a minimum one-year certificate or associate degree in secretarial studies, general business, or office administration, preferred. Office experience may serve as substitute based on two (2) years’ experience for 1 year of college.
  • Exceptional organizational and interpersonal skills including the ability to function with a team environment.
  • Must have a thorough knowledge of office equipment and computer systems with a demonstrated ability to use business application and/or accounting software.
