Summary



The office assistant is an onsite position that is key in building client relationships as the first point of contact, either on the phone or in-person (with COVID safety precautions in place). Strongest candidates will have some experience in a healthcare or behavioral healthcare setting and a customer-focused approach.





Who We Are



Are you interested in supporting mental health and language and literacy services at a high-quality, long-standing clinic? The Mary A. Rackham Institute (MARI) at the University of Michigan is seeking a temporary Office Assistant. In this position, you are at the front line of the work we do at MARI, taking calls and helping people figure out next steps in the process, such as scheduling appointments, checking people in for appointments, collecting co-pays, and getting clients set up with paperwork. MARI provides mental health and language and literacy services to members of both the U-M community as well as the general public. Established more than 80 years ago, MARI remains one of few clinical providers administered through the central campus (i.e., we are not part of Michigan Medicine).





Responsibilities*



This role will mainly provide administrative support for The University Center for Language and Literacy (UCLL), however there will be opportunities to cross-train and the possibility to occasionally work at the other two clinics associated with MARI (UCCF and the Psychological Clinic). The job responsibilities include: Covering phones Checking in clients Collecting payments Processing clinical reports Handling general office duties Provide administrative support to clinical services including MARI Testing and Reading Programs Open and close UCLL for Client business Assist with logistics of programs/services Social media and communications Special projects, including room assignments, parking and contacts with related services/programs Manage and oversee issues related to building maintenance IT and other problems as they arise Willingness to flex hours during the school year to provide administrative support to after school literacy program.





Required Qualifications*



High School Diploma Demonstrated proficiency in the use of computers and software including Microsoft Office products (Word, Excel, PowerPoint) as well as experience with Google applications Excellent verbal and written communication skills Demonstrated ability to handle and prioritize multiple projects and produce high-quality work in a timely, accurate and efficient manner Experience in handling items of a confidential nature efficiently and professionally Ability to maintain individual rights to privacy and confidentiality (i.e., HIPAA and PHI protection). Demonstrated ability to work effectively independently as well as in a team environment.





Desired Qualifications*



Bachelor's Degree preferred. At least 2-3 years of progressively complex administrative experience in a medical setting is preferred.





Work Schedule



Monday-Friday 8am-5pm, (some evenings will be required).





Additional Information



Due to the client-focused nature of this position, it is 100% onsite and is currently not approved for remote work. Hours are 8 a.m. - 5 p.m. Monday through Friday, but may change as MARI office hours expand; some evenings are required. COVID-19 safety protocols are in place to keep everyone safe, including face coverings, daily screening and access to testing. This position will start as soon as possible.
