Works proactively to organize Director - Real Estate & Construction and Director – Warehouse Services projects to allow them the ability to focus on the responsibilities at hand. Provide administrative duties.


  • Prepares routine and advanced correspondence including letters, memoranda, and reports

  • Prepare, proofread, and edit daily correspondence, spreadsheets, reports, and related materials

  • Provides phone support for the Dir – Real Estate & Construction and Dir – Warehouse Services and their teams

  • Prepare reports and information to distribution centers as needed

  • Prepare vouchers for approval and payment of services and products

  • Maintain CIP files, which includes but is not limited to preparing a voucher for approval and submission for payment to the appropriate accounting department, make copies of all CIP documents, and maintain those documents in a fashion that would provide the most current spending information in an orderly manner

  • Maintains files

  • Miscellaneous administrative duties (such as copying, filing, and answering the telephone.)

  • Provide incoming and outgoing support to department members in the field

  • Attends meetings, prepares the minutes, and distributes to the appropriate parties

  • Reviews and notifies Dir – Real Estate & Construction and Dir – Warehouse Services of incoming mail during their absences.

  • Maintain project timelines using Microsoft Project software



High school diploma plus


  • 2 years of office services experience

  • Exceptional written communication skills; ability to prioritize, strong problem-solving skills are required

  • Must be proficient in the use of PC and Microsoft Office products (Excel, Word, Outlook, and Project)

Physical Demands

  • Work is sedentary in nature

  • Must be able to communicate clearly, primarily by telephone, with employees and outside business contacts

  • A substantial part of the day is spent on key entry

Mental/Visual Demands

Must be able to read at distances close to the eyes, with or without correction.


Most of the day is spent in a comfortable office environment. Minimal travel may be required by air and personal vehicle.


Automobile, Personal Computer, Microsoft Word, Excel and PowerPoint, A/S 400.

License or certification

Valid driver’s license and certificate of auto insurance as defined in Company Policy.
