Duties


Summary


As the Prosthetic Clerk incumbent actively assists the Service in day to day operations of Prosthetics and Sensory Aids Service base on a working knowledge of programs and equipment. Incumbent assists in providing specialized services to seriously disabled veterans including amputees, deafened and blind veterans, and paraplegics/quadriplegics.



Responsibilities


  • Receives and interprets electronic consults and prosthetic requests and reviews for completeness



  • Compares diagnosis or disability to equipment and/or service normally provided for the condition for which requested and/or proper documentation has been provided to justify the issuance.



  • Uses CPRS and protects the system's information from unauthorized release from loss, alterations, or unauthorized deletions



  • Follows applicable regulations and instructions regarding access to computerized files and use of access codes



  • Assists in determining equipment and other resources needed to accomplish work assignments as appropriate



  • Participates actively in service by performing both routine and complex administrative and miscellaneous clerical duties



  • Recommends solutions to problems created by administrative and clerical aspects of the service



  • Greets veterans



  • Schedules appointments



  • Provides all team members with clinic schedules



  • Coordinates consultations to clinics at this facility and at other VA facilities



  • Processes requests for travel pay to eligible veterans



  • Ensures recording of accurate adjustments and disbursements daily from various travel accounts



  • Distributes off the shelf items



  • Receives orders and checks items in



  • Answers phones and transfers calls



  • Fits patients with off the shelf orthotic items and garments



  • Troubleshoots low complexity orthotic concerns



  • Researches and requests special orders for items that are not carried in stock



  • Reviews prosthetics suspense package for scheduling needs



  • Prosthetics Lab Consult management



  • Packages and boxes items to be mailed to veteran



  • Assists in day to day operations of prosthetics clinic as deemed needed by lab supervisor/tier supervisor



  • Manages and tracks patient medical records



  • Initiates action to request records form other facilities, both VA and non VA, and obtains all medical records prior to the patient's appointment in the clinic



  • Ensures records are prepared for scheduled clinic visits by providing previously ordered tests if appropriate, adequate forms for documentation by team, recent information profile for physician to review, and appropriate encounter form attached to the medical record



  • Assembles medical information in correct sequential and chronological order



  • Ensures record movement control and accountability is completed through record tracking in VISTA



  • Ensures appropriate forms are completed and signatures obtained for requests/release of medical information



  • Interprets/Transcribes physician orders utilizing knowledge and skill of VISTA software such as radiology, record tracking, laboratory, scheduling and registration



  • Assists team staff in monitoring Joint Commission required record criteria history and physical exam, signing operation reports, informed consents, etc.



  • Participates in quality assurance activities on an ongoing basis and recommends changes to improve programs when indicated



  • Enters diagnostic codes and outpatient procedure codes into the VISTA



  • Enters appointment information into the VISTA to ensure proper workload credit and statistical information is maintained for the medical center



  • Updates patient demographic information and Means Test information in VISTA



  • Interviews applicants for Third Party Billing procedures



  • Obtains, enters, and monitors VISTA activity regarding insurance and income information



  • Advises MCR staff in a variety of matters concerning veteran insurance coverage for billing purposes

    Basic Requirements:

    Education/Experience:



    Experience: Six months experience of clerical, office, customer service, or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position;



    OR,



    Education: One year above high school;



    OR,



    Experience/Education Combination: Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.



    May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria).



    Grade Determinations For Advanced Medical Support Assistant GS-6



    Experience: One year of experience equivalent to the GS-5 grade level.



    Experience at the GS-5 grade level may include:

    • Ability to operate computerized programs and systems in order to enter, modify, and retrieve sensitive medical and patient identifying information (PII) into or from electronic health records, scheduling systems, and/or reports.

    • Advanced knowledge of medical terminology specific to understanding medical diagnosis and procedures sufficient to communicate clinical staff instructions to patients.

    • Ability to schedule medical appointments in a clinical setting.

    • Ability to work independently in the accomplishment of a wide variety of duties performing patient support work.

    • Ability to communicate effectively and professionally in person, electronically, and/or by telephone with internal and external customers.

    • Skill in customer service with the ability to identify customer concerns and refer to the appropriate staff as necessary to ensure a satisfactory resolution.




    Demonstrated Knowledge, Skills, and Abilities:



    Candidates must demonstrate all of the KSAs below:

    • Ability to collaborate and communicate with a wide range of medical clinicians across multiple disciplines (e.g. medical doctors, nurse practitioners, physician assistants, psychologists, psychiatrists, social workers, clinical pharmacists, and nursing staff) to accomplish team goal setting to ensure medical care to patients is met.

    • Ability to independently set priorities and organize work to meet deadlines, ensuring compliance with established processes, policies, and regulations.

    • Ability to communicate tactfully and effectively, electronically, by phone, in person, and in writing, with internal and external customers. This may include preparing reports in various formats and presenting data to various organizational levels, as well as resolving patient concerns.

    • Advanced knowledge of the technical health care process (including, but not limited to, scheduling across interdisciplinary coordinated care delivery and/or care in the community models and patient health care portals) as it relates to access to care.

    • Advanced knowledge of policies and procedures associated with interdisciplinary coordinated care delivery and/or care in the community operational activities that affect patient flow, and patient support care administrative functions to include, but not limited to appointment cycles, outside patient referrals, follow-up care, overbooking, provider availability, etc.

    • Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians.

    Physical Requirements: The work is primarily sedentary for the office setting. The incumbent should possess coordination and dexterity necessary for the safe and efficient operation of office equipment. There is a need for standing, walking, bending, and carrying lightweight supplies such as medical charts, office supplies, etc. The incumbent may be required to assist wheelchair bound or stretcher patients to/from clinic exam rooms.
