What you'll do

As an Administrative Assistant at Docusign, you will provide support to multiple executive leaders within the Growth organization. This dynamic role requires a proactive, quick-learning individual capable of managing various relationships with senior executives and employees, necessitating strong communication skills. Ideal for a career-driven, resilient Administrative Assistant, the position involves many responsibilities, from daily internal tasks to external, customer, and partner engagements, all demanding meticulous coordination, prioritization, and confidentiality. You will rely on your exceptional strategic and critical thinking skills and multitasking ability to independently manage executives' schedules, anticipate future needs, and enhance overall team efficiency, contributing significantly to the smooth functioning of the organization in a fast-paced, collaborative setting.

This position is an individual contributor role reporting to the Vice President, Sales Development.

Responsibility

  • Oversee comprehensive calendar management for various meetings, events, and travel across multiple time zones
  • Plan and schedule intricate domestic and international travel arrangements
  • Manage executives’ time efficiently, including assistance with preparing documents, organizing meetings, and reserving meeting rooms
  • Maintain business rhythms through effective agenda management and overseeing logistics while tracking deliverables and deadlines
  • Coordinate and organize logistics for various meetings, conferences, and special events
  • Handle expense reports, manage invoicing and purchasing requirements as necessary
  • Organize, prioritize, and coordinate multiple work activities, ensuring deadline adherence
  • Collaborate with internal and external stakeholders at various levels to efficiently gather information, generate reports, and maintain continuous information flow
  • Serve as a liaison for executives, facilitating information exchange with senior leaders and other organizational members
  • Provide backup support for Administrative Assistants and Executives as needed
  • Engage actively in the administrative community, contributing to collaborative efforts
  • Establish cross-functional partnerships with various departments inside the organization
  • Complete other duties, as assigned

Job Designation

Hybrid: Employee divides their time between in-office and remote work. Access to an office location is required. (Frequency: Minimum 2 days per week; may vary by team but will be weekly in-office expectation)

What you bring

Basic

  • 2+ years of administrative support or relative work experience
  • Experience with administrative assistant tasks, including scheduling, document management, and correspondence
  • Experience in project coordination, handling tasks of varying complexity

Preferred

  • Associate’s or Bachelor’s Degree
  • Proficient with Google Suite, encompassing Gmail, Google Calendar, Google Slides, Google Sheets, and Slack within a business environment
  • Proficient in oral and written competencies that enable clear and effective communication with senior leaders
  • Competence in handling confidential data, policies, and updates with utmost trust and discretion
  • Experience providing executive (VP) level administrative support
  • Able to manage multiple executives with different working styles
  • The ability to handle multiple assignments simultaneously requiring strong prioritization skills in a fast-paced environment
  • Exhibits flexibility in response to changing priorities and needs
  • Shows ability and willingness to acquire new competencies and accept new challenges
  • Ensures clear, thorough, and specific communications, with attention and follow-through

Wage Transparency

Pay for this position is based on a number of factors including geographic location and may vary depending on job-related knowledge, skills, and experience.

Based on applicable legislation, the below details pay ranges in the following locations:

Washington: $38.03/hour - $52.19/hour

This Role Is Also Eligible For The Following

  • Bonus: Sales personnel are eligible for variable incentive pay dependent on their achievement of pre-established sales goals. Non-Sales roles are eligible for a company bonus plan, which is calculated as a percentage of eligible wages and dependent on company performance.
