Description

POSITION SUMMARY: The UCC Athletic Coordinator oversees all UCC athletic programs, ensuring they align with the school’s and UCC agency’s educational goals and provide opportunities for physical development, teamwork, and sportsmanship to all UCC school students and UCC clients. This role requires effective leadership, communication, and collaboration with coaches, parents, students, administrators, UCC leadership and departments to develop and manage the athletic programs for the UCC agency.

CLASSIFICATION: 12 month - Year Round

SCHEDULE: Generally, Monday-Friday, 12 pm-8 pm

Varies according to athletic seasons and activities, weekend and evening hours are often required

Essential Duties And Responsibilities

  • Athletic Program Development and Oversight:
  • Plan, organize, and supervise all school athletic programs across the UCC Schools as well as the UCC agency.
  • Develop and implement policies and procedures for the athletic department, ensuring they align with school, district, and state guidelines.
  • Oversee the scheduling of practices, games, tournaments, and events for all sports teams, athletics, and fitness activities across the agency, including boxing programming.
  • Leadership and Supervision of Coaches and Staff:
  • Recruit, hire, and train coaches, assistant coaches, and support staff.
  • Provide ongoing mentorship and performance evaluations for coaches, ensuring alignment with school values and athletic program goals.
  • Conduct regular meetings with coaches to discuss strategies, program improvements, and student-athlete development.
  • Supervise, mentor, coach, and discipline any staff effectively and efficiently.
  • Student-Athlete Development:
  • Promote the personal, physical, and academic development of student-athletes.
  • Monitor student-athlete eligibility, ensuring compliance with school policies and local/state athletic association rules.
  • Advocate for a balance between academics and athletics, emphasizing sportsmanship, teamwork, and leadership.
  • Budget and Resource Management:
  • Develop and manage the athletic department budget, allocating resources for equipment, uniforms, travel, staff, and facility maintenance.
  • Organize fundraising efforts, seek sponsorships, and collaborate with school administration to secure additional funding for athletic programs.
  • Oversee the purchase, maintenance, and inventory of athletic equipment and supplies.
  • Managing payment of all part-time employees, coaches, referees, and other athletics staff. Must track hours and timesheets for part-time staff.
  • Event Coordination and Game Management:
  • Coordinate the logistics of home and away games, including transportation, facility preparation, and event staffing.
  • Serve as the primary liaison for referees, visiting teams, and parents during games and events.
  • Ensure that athletic events run smoothly, with appropriate safety measures in place.
  • Health and Safety Compliance:
  • Ensure that all health and safety standards are followed, including the implementation of injury prevention protocols and emergency response plans.
  • Oversee the proper use and maintenance of athletic equipment to ensure student safety.
  • Ensure compliance with concussion management policies and other health-related requirements for student-athletes.
  • Compliance with Athletic Associations:
  • Ensure all athletic programs comply with local, state, and national athletic association rules and regulations.
  • Maintain up-to-date records of athlete eligibility, team rosters, and other required documentation.
  • Stay informed of changes in athletic policies and communicate updates to staff and students.
  • Community Engagement and Public Relations:
  • Foster positive relationships with parents, students, staff, and the community.
  • Serve as a representative of the school at athletic events and community functions, promoting school spirit and sportsmanship.
  • Communicate regularly with parents, students, and school administration about athletic program developments, schedules, and expectations.
  • Facility Management:
  • Oversee the maintenance and use of athletic facilities, including gymnasiums, fields, and other sports-related areas.
  • Coordinate with the maintenance staff to ensure athletic facilities are safe, functional, and well-maintained.
  • Professional Development:
  • Stay current on best practices in athletic program management, student-athlete development, and coaching strategies.
  • Organize and participate in professional development opportunities for coaches and staff.
  • Attend relevant workshops, seminars, and conferences to stay informed on trends and updates in school athletics.
  • Conflict Resolution and Problem-Solving:
  • Address and resolve conflicts between student-athletes, coaches, parents, and staff related to sportsmanship, behavior, or performance.
  • Handle disputes related to game schedules, eligibility, or athletic policies fairly and professionally.
  • Crisis and Emergency Management:
  • Develop and implement emergency plans for athletic events, ensuring coaches and staff are trained in procedures for handling injuries and other emergencies.
  • Respond to on-field or in-game emergencies involving student-athletes, providing appropriate support and care.

Bilingual Staff

  • Translate athletics communications, including letters, newsletters, and notices, from English to Spanish and vice versa.
  • Foster positive relationships with students, parents, and colleagues by bridging language barriers.
  • If available, assist in translating during parent-teacher conferences, parent meetings, IEP and 504 meetings, and school events to ensure clear communication between the school and non-English-speaking families.

Other Duties

  • Performs any other duties as assigned.
  • Supervises students and provides support and care for children during athletics programming, afterschool programming, daycare, aftercare, or other school programming as needed by the school building and/or agency.

Physical Requirements

Mobility:

  • Ability to move around the school campus, including walking long distances between fields, gymnasiums, and other athletic facilities.
  • Frequent standing, walking, bending, and occasional running, especially during practices and games.
  • Ability to bend, kneel, and stoop as required for tasks such as equipment setup or addressing student-athletes.
  • Ability to engage in repetitive movement of wrists, hands, and fingers – typing and/or writing.

Lifting/Carrying

  • Ability to lift, carry, push, pull, or otherwise move objects, athletic equipment, supplies, and materials weighing up to 25-50 pounds.
  • Occasional lifting or moving of items such as sports gear, equipment bags, and event setups.

Visual/Auditory Requirements

  • Ability to see and observe student-athletes during practices and competitions to monitor safety and performance.

Qualifications

Education:

  • Bachelor’s degree in physical education, Sports Management, Athletic Administration, or a related field (preferred, but not required).

Experience

  • Prior experience in athletic administration, coaching, or sports management, ideally within a school setting.
  • Experience in managing sports teams, events, or athletic programs.
  • Demonstrated leadership and organizational experience, particularly in a school or youth sports environment.

Knowledge/Skills

  • In-depth understanding of sports rules, regulations, and best practices for various sports at the elementary and middle school levels.
  • Knowledge of athletic program management, including scheduling, budget management, and resource allocation.
  • Familiarity with safety regulations, injury prevention, and health protocols related to student-athletes (e.g., concussion management).
  • Understanding of local/state athletic association rules, policies, and guidelines.

Leadership And Communication

  • Strong leadership skills with the ability to motivate and guide coaches, athletes, and staff.
  • Excellent communication and interpersonal skills to interact effectively with students, parents, staff, and the community.

Certifications

  • First Aid and CPR certification (required or willingness to obtain).
  • Coaching certification or other relevant certifications in athletics or sports management (preferred).
  • Certification in Athletic Administration (optional, but beneficial).
