HER Resiliency Center is seeking an organized, proactive, and detail-oriented Executive Assistant & Operations Coordinator to provide high-level support to the Founder & CEO. The ideal candidate will possess exceptional editing and writing skills, meticulous event planning expertise, and the ability to manage priorities while ensuring accountability. Key responsibilities include communications management, event coordination, calendar oversight, and administrative support. This role serves as a trusted partner in advancing the organization’s goals.
Key Responsibilities
Communications & Writing
- Draft, proofread, and edit emails, grant proposals, reports, newsletters, and speeches with precision.
- Maintain the organization’s professional tone and mission alignment in all written materials.
- Manage the Founder’s email inbox, prioritizing urgent messages and drafting responses.
- Plan and execute logistics for workshops, fundraisers, donor meetings, and community events (virtual and in-person).
- Coordinate with vendors, venues, and stakeholders to ensure seamless event execution.
- Manage RSVPs, budgets, timelines, and post-event follow-up communications.
- Monitor priorities, flag urgent tasks, and ensure timely follow-ups to maintain accountability.
- Anticipate needs and resolve scheduling conflicts efficiently.
- Perform accurate data entry for donor databases, program metrics, and financial records.
- Prepare meeting materials, presentations, and briefing documents.
- Track expenses, submit reimbursements, and maintain organized digital and physical files.
- Serve as a liaison between the Founder and staff, board members, donors, and community partners.
- Represent the organization with professionalism, empathy, and discretion in all interactions.
Required
- 3+ years of experience as an Executive Assistant, preferably supporting C-suite leaders or nonprofit executives.
- Exceptional writing, editing, and proofreading skills (writing samples required).
- Proven experience in event planning and project management.
- Advanced proficiency in Microsoft Office, Google Workspace, and CRM systems.
- Ability to handle confidential information with discretion.
- Strong time management skills with a track record of meeting deadlines.
- Proactive, self-motivated, and capable of working independently.
- Bachelor’s degree in Communications, English, Nonprofit Management, or a related field.
- Experience in the nonprofit or social services sector.
- Familiarity with trauma-informed practices or social impact initiatives.
- Project Management Professional (PMP) or event planning certification.
- Mission-driven, fast-paced nonprofit based in Baltimore, MD.
- Occasional evening and weekend hours required for events.
- Hybrid/remote flexibility available.
