POSITION SUMMARY (PURPOSE OF POSITION):
The Payroll Administrator is a vital member of the Finance team, responsible for executing timely and accurate payroll for both Major League and Minor League players. This role ensures that player compensation is processed in full compliance with federal, state, and local tax regulations while addressing the complexities of frequent player movement, multi-state taxation, and league requirements.
As the primary point of contact for all player payroll activities, this position requires close coordination with Baseball Operations and a deep understanding of player transactions. The ideal candidate will bring expertise in payroll processing, attention to detail, and a passion for service excellence in a fast-paced, high-stakes environment.

The Payroll Administrator is a vital member of the Finance team, responsible for executing timely and accurate payroll for both Major League and Minor League players. This role ensures that player compensation is processed in full compliance with federal, state, and local tax regulations while addressing the complexities of frequent player movement, multi-state taxation, and league requirements.
As the primary point of contact for all player payroll activities, this position requires close coordination with Baseball Operations and a deep understanding of player transactions. The ideal candidate will bring expertise in payroll processing, attention to detail, and a passion for service excellence in a fast-paced, high-stakes environment.
Essential Duties & Responsibilities
- Administer semi-monthly payroll for MLB and MiLB players using the UKG payroll system, across multiple pay groups and jurisdictions.
- Review and interpret player movement schedules and transactions provided by Baseball Operations to determine correct compensation, location-based tax treatment, and pay group updates.
- Maintain accurate and up-to-date payroll records, including player rate changes, locations, bonuses, per diems, deductions, and tax codes.
- Ensure accurate entry of all supplemental earnings, including signing bonuses, incentives, fines, and garnishments.
- Serve as liaison between Finance and Baseball Operations to resolve payroll-related questions tied to player contracts and roster moves.
- Identify and proactively address data discrepancies before payroll processing; audit payroll registers post-processing for accuracy and completeness.
- Monitor and ensure compliance with applicable payroll laws, including complex multi-state tax regulations.
- Research and fulfill payroll tax obligations across various states and municipalities.
- Assist with year-end tax reporting, including W-2 and 1099 forms for applicable player populations.
- Support audits, reporting requirements, and ad hoc payroll projects as assigned.
- Provide outstanding customer service to internal departments, league offices, and external agencies.
- 3–5 years of multistate payroll processing experience, preferably in a mid-size organization (500–1,000+ employees).
- Hands-on experience with UKG (Ultimate Kronos Group) payroll software is preferred.
- Strong preference for candidates with multi-state payroll experience; exposure to sports or entertainment payroll is a plus.
- FPC (Fundamental Payroll Certification) or CPP (Certified Payroll Professional) preferred.
- Proficiency in Microsoft Excel, Word, and Outlook.
- Exceptional attention to detail and analytical capabilities.
- Ability to handle confidential and sensitive information with discretion.
- Self-starter with strong organizational skills and ability to meet strict deadlines with minimal supervision.
- Excellent verbal and written communication skills; collaborative team player.
- Primary work location is on-site in a professional office environment.
- Typical schedule is Monday–Friday 8-5 pm, evenings and weekends may be required based on payroll deadlines or baseball calendar events.
- Minimal travel is expected; however, this role will require spending at least one week in Arizona during Spring Training to meet with players.
- Physical demands include:
- Sitting
- Prolonged periods of sitting at a desk and working on a computer.
- Frequent use of hands and fingers to operate a computer keyboard, mouse, and telephone.
- Ability to communicate clearly and effectively, both verbally and in writing.
- Visual acuity to read and interpret data on a computer screen and in printed form.
- Occasional standing, walking, bending, and reaching.
- Ability to lift and carry up to 15 pounds occasionally (e.g., reports, files, or office supplies).
- The base salary range for this full-time position is $80,000 to $90,000. As a candidate for this position, your salary and related elements of compensation will be contingent upon your work experience, education, job-related skills, and any other factors the Colorado Rockies consider relevant to the hiring decision for this position.
